1. Scope of this Policy
This Privacy Policy applies to NYC Tax Intake’s public website, client portal, Secure Document Vault, intake and communication channels, and tax-preparation services. It explains our general information practices. It does not replace any separate engagement letter, authorization, disclosure, or taxpayer consent that may be required by law, including consent requirements under Internal Revenue Code (IRC) § 7216 and related Treasury Regulations.
2. Information We Collect
* Basic contact and intake information: Name, email address, telephone number, and basic intake details needed to understand how we may assist you.
* Tax and financial information: Tax forms and source documents (W-2s, Forms 1099, prior-year returns, tax notices, business records) and information necessary to prepare, review, amend, file, or otherwise assist with tax returns.
* Portal, security, and technical information: Account identifiers, authentication credentials, passkey registration information, session info, and technical system logs.
* Information from third parties: Tax authorities, tax software providers, prior preparers, or financial institutions when authorized by law.
3. Public Website vs. Secure Client Portal
Important: Do not submit Social Security numbers, dates of birth, bank information, tax returns, W-2s, 1099s, identification documents, or other sensitive tax documents through the public website contact/intake form or ordinary email unless NYC Tax Intake specifically directs you to an approved secure method. The public website and basic intake forms are intended for ordinary contact information and service inquiries. Sensitive tax documents should be submitted through the authenticated Secure Document Vault or another approved secure channel.

4. How We Use Information
We use your information to provide tax preparation, filing, and planning services; manage your secure account; comply with legal and regulatory obligations; prevent fraud; and maintain internal service quality.
5. IRC § 7216 and Tax-Return Information
Federal law places special restrictions on a tax return preparer’s use and disclosure of tax return information. NYC Tax Intake uses and discloses tax return information only as authorized by the taxpayer, as necessary for tax-return preparation, or as allowed or required by law.
6. When We Share Information
We may disclose information only to the extent reasonably necessary to tax authorities, tax software providers, secure technology infrastructure partners, or professional/legal advisers under strict data-security safeguards. We do not sell or rent taxpayer information.
7. Security & Protection
We maintain administrative, technical, and physical safeguards designed to protect customer information consistent with New York data-security obligations, including the New York SHIELD Act. The Secure Document Vault uses private storage and authenticated routes rather than public document links.
8. Retention & Contact
We retain information for as long as reasonably necessary for tax service, legitimate business operations, or legal requirement compliance.
